What has happened to SFF? I know there was discussion thereof and of us potentially absorbing them but haven’t seen anything since then. We need to write at least one motion over christmas to make our constitution legal following SU regulation updates, who wants to second? Ben volunteered.
Many signups (It actually filled up between the last time Nathan checked and the exec meeting to sort roles), but not perfect at gettting people to fill out the (mandatory) form - there was a second push to sort this. Other issues have been resolved, so it's ready to go!

In week 4 of term 2, (soon!) we're running a Big RPG in Wanderhome, and need to sort quite a few things. We need promo, likely in the form of a poster, discussion of whether we're ticketing the event or opening it to members only, set up a form to gauge interest in GM'ed vs GM'less play, and relevant past exec need to be poked for advice on Big RPG structure.
We asked who’s able to help with the Dr Who RPG collab in early term 2? (Likely as a GM) to help with Ben's workload, there were no immediate volunteers but some people half-interested - in theory if nobody can, we could say no. Both the Pride and Whosoc collabs have both moved to later term 2, which means Ben's workload has at least dispersed a bit.
Pride has people willing to GM/play so recruitment is less of a concern but Whosoc don’t want to GM, and they aren’t great at keeping us in the loop planning wise. It is probably worth poking them about numbers and similar things like what we're getting from this because if we’re going to work Ben to death then we should at least get something from their sacrifice.
The Comicsoc collab has moved because the D&D movie suffered from the fate of all RPG sessions (rescheduling), they’ve also managed to survive this year!
It was also decided that, despite the comments that had been raised at the start of the year, Sci-Fi and Fantasy collapsing is not our problem - other socs have more overlap.
We need to check who's available for this, ideally with at least one computer science student since Scarlett (our usual DCS contact on exec) might not be available - Alvis, Liam, Lewis and Lils have volunteered, borrowing Adam or Scarlett's keycards to sort doors. The event will be at 2-5 on Weds week 10, instead of regular boardgames at that time, we'll want to advertise to keep the membership in the loop. Lewis has offered his car to help move stuff, and we can grab games at Wargames or Tabletop Weekend.
The quiz room (OC.01) is accessible, or at least doesn't suffer from the accessibility issues that plague several other oculus rooms! Update on round running, Ed can't sort a round so asked if anyone else would be interested - Ethan was. Request that all rounds be sent in to me by the deadline (Wednesday Week 9).
Apparently (i.e. according to some UCU members), there’s a chance that entrance to academic buildings may be picketed, which is relevant for us because our events are in academic buildings, so you may see the potential issue. The general consensus was give out an announce once we have more specifics (i.e. on the day) and an earlier heads up that things might be disrupted, but run events as normal. (Editor/Meeting Note writeup comment - in the end we instead moved our events to overlap with other events on non-strike days, moving week 8 CCGs to the same time as board games and not running week 9 board games because we had Tabletop Weekend.)
We're starting prep, and currently have a few ideas (a royal court thing or a cyberpunk setup) - if you have ideas ask Lewis once we have the announcement for recruitment up.
